Where to find information
All information for School Payroll Administrators is on the Ministry of Education web site. The website contains an A-Z of payroll, information on how to read your SUE guide and a payroll calendar so you can keep up to date.
From the Ministry website you can download all the payroll forms, read information on which forms to use and how to complete the forms. Click on the forms link at the top.
If you are a new Payroll Administrator please click on the link for New Payroll Administrators to the left. This will tell you how the website can help you and other payroll information you need to know.
To help achieve an accurate payroll
To reduce the risk of errors in your payroll, schools are encouraged to follow these steps.
Send it now - Please send payroll input data as soon as you have it because holding it to send on closedown day creates a processing bottleneck. The period in the pay cycle between closedown day and the running of the pay is three working days. If your input data arrives after 5pm on the closedown Monday it will not be processed in that pay period.
Put all instructions in writing - Any verbal instruction must be supported by written authorisation. All instructions must be in writing.
Complete the forms electronically - typed instructions are easier to read.
Check the Staff Usage and Expenditure (SUE) report - The SUE report provides you with the means to ensure your staff have been paid correctly. Check it thoroughly on receipt and immediately advise your payroll officer if corrections are required.
Receive SUE reports via email - An up-to-date SUE report can be emailed to you on the Friday evening before payday. If you would like to use this facility, please complete the appropriate form.
